Experience from Argentina

New to the US. Not new to business software.

Around 50 businesses in Argentina run on systems we built and maintain.

We’re the team behind Sistemar, our own business management and ecommerce platform. For US customers we bring that experience to ERPNext: open source, your data, no lock-in.

Gabriel Giana, founder of XOP

Who you’ll work with

You’ll work with the founder.

Gabriel GianaFounder

Programmer, founder of XOP and Sistemar. Around 50 business systems implemented in Argentina.

  • Gabriel personally leads onboarding for our first US customers.
  • Implementation and support are handled by the same team that builds and maintains Sistemar.
  • XOP LLC is a Florida company. Our engineers work from Argentina, 1–2 hours ahead of New York, so we’re online during your business day.

Real workflows from our Argentine customers, rebuilt in English with sample data.

Examples of what we’ve built

Real workflows, built around how each business runs.

Pick a workflow and follow it from the storefront to the back office. Each one started as a rule a real distributor needed, and became part of their system.

Sales reps earn commission when their customers pay.

  1. Step 1 · Storefront

    Rep places the order

Reps order on behalf of their customers in the same storefront buyers use. The order carries the rep of record, the customer’s terms and every line discount from the first click.

  2. Step 2 · Sales Invoice

    Invoice carries the rep

The invoice copies the rep and stores a commission rate on every line. A product-level rate beats the rep’s default, and any discount shrinks the commission base.

  3. Step 3 · Payment Entry

    Customer pays, oldest first

Each payment settles the customer’s oldest invoices first, like their account statement. Commission is earned on what is collected, so one payment can release commission on this month’s sales and on last month’s.

  4. Step 4 · Report

    Commission report

One view per rep and period: earned on what was collected, pending on what is still open. Credit notes subtract. Reps stop chasing deals that never collect.

  5. Step 5 · Statement

    Commission statement PDF

One statement per rep per month, built from the same ledger with no recalculation. Every total breaks down into collections, prior-month collections and returns, and every line traces back to an invoice.

Real workflows, built around how each business runs.

Sales-rep commissions: Sales reps earn commission when their customers pay.

  1. Rep places the order (STOREFRONT). Reps order on behalf of their customers in the same storefront buyers use. The order carries the rep of record, the customer’s terms and every line discount from the first click.
  2. Invoice carries the rep (ERPNEXT · SALES INVOICE). The invoice copies the rep and stores a commission rate on every line. A product-level rate beats the rep’s default, and any discount shrinks the commission base.
  3. Customer pays, oldest first (ERPNEXT · PAYMENT ENTRY). Each payment settles the customer’s oldest invoices first, like their account statement. Commission is earned on what is collected, so one payment can release commission on this month’s sales and on last month’s.
  4. Commission report (ERPNEXT · REPORT). One view per rep and period: earned on what was collected, pending on what is still open. Credit notes subtract. Reps stop chasing deals that never collect.
  5. Commission statement PDF (PRINT FORMAT). One statement per rep per month, built from the same ledger with no recalculation. Every total breaks down into collections, prior-month collections and returns, and every line traces back to an invoice.

Web order to delivery: A web order, from acceptance to delivery.

  1. Customer buys by case pack (STOREFRONT). Wholesale buyers order the way they buy: by case pack, at their tier’s prices. At checkout they choose pickup or shipping and see exactly what is due now and what is due later, so nobody has to chase them for terms.
  2. Order lands in “To accept” (ERPNEXT · SALES ORDER). Web orders arrive in one queue: To accept, In preparation, Completed. Someone from customer care presses Attend and takes ownership. The order only moves on once the deposit is in, so the warehouse never picks an order nobody has committed to.
  3. Shortage found while picking (ERPNEXT · PICK LIST). The picker marks what is missing and why. Customer care sees it right away, with no trip to the warehouse module, and decides: stock found, remove it, or replace it. The customer gets the news in their account instead of finding out at delivery.
  4. Scan-verified packing (ERPNEXT · DELIVERY NOTE). Nothing leaves without a check. Packers choose loose, bag or box and scan every unit. Boxes only exist once scanned into, and the order cannot be approved until every line matches. Wrong shipments get caught at the bench, not by the customer.
  5. Balance paid, shipped and trackable (STOREFRONT · ORDER PAGE). Customer care collects the balance, the Sales Invoice and Payment Entries are posted, and the shipment goes out. The buyer follows it all in their account: every step, every change and the tracking number. Fewer “where is my order?” emails.

Restocking: Low stock to back in stock, without the spreadsheet.

  1. Best-seller sells out (STOREFRONT). When a best-seller hits zero, the buyer doesn’t leave for a competitor: the product page offers a backorder in case packs. Demand is captured, the buyer knows where they stand in line, and you see what to re-order.
  2. Re-order at the supplier (ERPNEXT · PURCHASE ORDER). Stock fell under the item’s reorder level, so ERPNext created the Material Request and the Purchase Order by itself. It already knows the supplier, the lead time and how many pieces fit in a case. Nobody checks a spreadsheet.
  3. Truck arrives: scan it in (ERPNEXT · PURCHASE RECEIPT). The warehouse scans barcodes against the open order. Every difference shows up on the spot: a short case to claim from the supplier, an over-shipment to review. You find out at the dock, not when a customer complains.
  4. Backorders fill themselves (ERPNEXT · STOCK RESERVATION). Stock goes in and the waiting orders are reserved automatically, oldest first. Nobody decides who gets product, and what is left over is the only stock the storefront can sell.
  5. Storefront is back in stock (STOREFRONT). The product flips to In stock with only what’s really free. The customer who waited sees their order move to Preparing and gets an email, with no calls to the sales desk.

Wholesale accounts: A new wholesale customer, approved and buying.

  1. Buyer applies online (STOREFRONT). Visitors browse your full catalog but never see a price. To unlock trade pricing they apply with what you need to qualify them: business name, EIN and their resale certificate. No emails back and forth, no PDFs lost in an inbox.
  2. Operator approves in ERPNext (ERPNEXT · CUSTOMER). The application lands as a Customer in Wholesale Pending with the certificate attached. You review it once and approve by changing the group: price list, Net 30, credit limit and tax exemption are set in one place.
  3. Buyer sees their prices (STOREFRONT). Once approved, the same catalog shows their own price list. Products sell by the case pack, with minimums and multiples enforced as they type, and repeat buyers can paste SKUs to order in seconds.
  4. Checkout on Net 30 with PO (STOREFRONT · ERPNEXT SALES ORDER). Approved accounts check out on terms, not a card: Net 30 with a required PO number. Resale buyers pay no sales tax, and freight is quoted by your team instead of guessed. ERPNext blocks the order if it would exceed the credit limit.
  5. Invoices in their portal (STOREFRONT · MY INVOICES). Buyers see what they owe without calling you: balance, due date and a PDF of each invoice, straight from ERPNext. Fewer "can you resend the invoice?" emails, and payments arrive on time.

Your B2B storefront

Shaped around how your buyers order

Not a one-off project. A software team you subscribe to.

One team handles the storefront and what sits behind it.

How we work

Your operation first. A clear scope next.

Already have a website or system? We start with what works and what you want to keep.

What can we show today?

A working US demo: storefront and catalog, buyer accounts, customer-specific pricing, case packs, cart, checkout on net terms, and the order flowing into the ERP through to the invoice. Card payments are connected per customer at onboarding.

  1. Understand the business

Tell us how orders arrive and where work repeats. A short email is enough.

  2. Agree on what to build

A proposal with workflows, systems to keep and price, before you commit.

  3. Validate, then roll out

We test together, then plan migration, training and support before launch.

Before we talk

Good questions before you make a change.

You’re based in Argentina. When can we reach you?

Argentina is 1–2 hours ahead of New York, so our day overlaps yours. Support runs Monday to Friday, 9am–6pm Eastern, by email, WhatsApp or a call. Outside those hours we handle emergencies only: your store or ERP down.

Do we keep QuickBooks?

ERPNext includes full accounting (invoices, A/R, A/P, bank reconciliation), so many wholesalers retire QuickBooks. If your accountant wants to stay on QuickBooks, we quote a sync during scoping.

What about our current ERP or system?

We usually replace it. We migrate items, customers, price lists and open balances, and run both side by side until you’re comfortable.

Shipping, sales tax and EDI?

Resale certificates and tax-exempt buyers are built in. Multi-state sales tax, carrier rates and labels (UPS, FedEx) and EDI with big-box retailers are scoped and quoted for your setup.

Where is our data hosted and who can access it?

Each customer runs on its own dedicated cloud server in a US East Coast data center, with daily backups. Only our team has access, under a confidentiality agreement. Your data stays yours: export everything anytime.

What exactly is XOP: software or a service?

Both, as one subscription. We run your ERP and B2B storefront and keep changing them as your business does.

Can we see XOP with our own products before signing?

Yes. We load about 10 of your products, about 5 of your customers with their prices and 1–2 of your rules into a copy of our demo, and show it working in days, not weeks. It’s free, with no commitment, for our first 5 (founding) customers.

What does the monthly fee include?

Managed ERPNext, your B2B storefront, hosting, backups, updates, monitoring, support and a dedicated systems manager. Customization is paid with credits; setup is a one-time fee from $6,000 at list price ($3,000 for our first 5 founding customers).

What if we need more changes in a month?

Add credits without changing plan: $100 each at list price, or packs of 10 and 25. Bugs never use credits.

Are we locked in? What about our data?

Your data, your codebase: export everything anytime. XOP runs on ERPNext, which is open source.
